Add Clients and Contacts in vcita

Take control of contact and client management by learning how to add them individually or in bulk for efficient access.

A contact is someone you have not yet done business with. A client has completed at least one business transaction with you.

Adding Individual Contacts and Clients

  1. Open the platform.
  2. Click Clients.
  3. Click New Contact.
  4. Enter the contact's details.
  5. Click Save.

The contact/client card will open. You will see tabs for "Contact Details", "Activity Highlights", "Conversations", "Notes", "Bookings", "Payments", and "Documents".

Troubleshooting: "Email already in use" Error

If you receive an error stating that an email is already in use when creating a new client, it may be due to a system glitch.

Important: If this error occurs, provide the email address you are trying to use and the email address you use to log in to the platform to the support team.

The support team will check if the email is in use and free it up if necessary.

Delete a Client

To delete a client:

  1. Open the platform.
  2. Click Clients.
  3. Find the client you want to delete and check the box next to their name.
  4. Click the More button.
  5. Select Delete from the options.
  6. Click Delete again to confirm.

Mark a Client as Spam

If you wish to block a specific contact:

  1. Open the platform.
  2. Click Clients.
  3. Select the checkbox next to the client name.
  4. Click the More button.
  5. Select Mark as Spam.

The client will no longer be able to contact you using that email address.

Quick Actions

You can also click the plus icon to view a list of "Quick Actions" you can take from the contact/client card.

Feature Testing

You can also dive into feature testing with your personal test client, found in the Clients menu under your name and email. This allows you to preview features through the eyes of clients and choose the best customizations for your account. Your test client is your business name followed by (you as a client).
