Event Waitlist
The Event Waitlist feature allows you to easily fill attendee spots freed up by last-minute cancellations by clients or staff, or when the attendee limit is increased on an existing event.
When the Event Waitlist feature is enabled in your account, you can choose to have newly available slots filled automatically, or you can manually manage the waitlist.
Clients will be able to register themselves on the waitlist for an event, or they can be added by staff.
Clients on a waitlist can also remove themselves through the client portal. While on the waitlist, clients will not see the meeting location link (if applicable). This will only be visible after a client is registered as an attendee.
Automatically Fill Available Spots
To enable automatic waitlist management:
- Go to Settings > Online Booking Options > Booking Policies
- Under Waitlist, check the box for Create waitlist for fully booked events
- Select Automatically fill available spots - this is the recommended option
When a client cancels their registration to an event, or their registration is cancelled by staff, an SMS is automatically sent to all clients on the waitlist. In the SMS is a link which when clicked, will register the client to the event right away, if no payment is required.
If the event requires payment upfront, the client will be asked to pay after they click the link in the SMS. Clients will not have to pay to register onto the waitlist.
Registration is on a first come, first served basis. A suitable message is displayed to clients who miss the open spot when clicking the link in the SMS.
Manually Fill Available Spots
To enable manual waitlist management:
- Go to Settings > Online Booking Options > Booking Policies
- Under Waitlist, check the box for Create waitlist for fully booked events
- Select Manually fill available spots
To manually add a client to the waitlist:
- On the event details page, at the top right, click the the Waitlisted tab
- Click Add to waitlist
- In the popup client list, select one or more clients to add
- Click Continue
- In the Add to waitlist popup, enter a message to send with the waitlist confirmation email (optional)
- Click Add to Waitlist
To add a client from the waitlist to the attendee list:
- On the event details page, at the top right, click the Waitlisted tab
- On the right side of the client you want to register, click the three vertical dots
- Select Switch to registered
- In the Register popup, enter a message to send with the confirmation email (optional)
- Click Register
To quickly find events with available spots:
- Go to Calendar > Event List
- Check the box for Event with bookable spots
