Staff Default Assignment Rules
If you have a Business subscription or higher, you can set the default assignment for incoming messages and bookings.
- Start in your vcita account and navigate to Settings > Staff.
- Switch to the Assignment rules tab.
Default Assignment
All incoming communications such as contact form submissions, documents, payments, etc. will be assigned to this staff member by default (This does NOT include new bookings, which can depend on availability and the client's choice at the time of booking).
Returning Client Interactions
You can choose to assign returning client messages, payments and shared documents to the last staff member they worked with, or always route to the primary staff member. This option is best if you'd like your clients to have a constant main point of contact.
Returning Client Bookings
You can automatically assign returning clients to the staff member who worked with them most recently (given that the staff member is available and offers the chosen service), or you can handle assignments for existing clients according to your default Online Booking settings.
