Managing Your Services Menu

 

Your Services menu is a complete list of the services you offer. Since bookings and appointments are linked to services, one of the first things you will want to do with your new account is configure your Services menu.

In this article, you’ll learn how to set up, edit, and add new services to your menu, and how to share your Services menu with clients to get bookings.

Services menu overview

There are two types of services you can choose from and create:

  1. 1-on-1 appointment: A meeting between you and one client.
  2. Group Event: An event led by you with multiple clients, such as a class, workshop, or webinar.

To view and edit your Services menu go to Settings > My Services.

You will find three default services already set up for you:

  • Introductory Phone Call (1 on 1 phone appointment)
  • In-office appointment (1 on 1 in-person appointment)
  • Demo Class/Event (in-person group event)

Click on any one of them to edit their display name & details.

Managing your Services menu

Adding services

To add a new service to your menu, click New Service and choose a 1 on 1 appointment or a Group event:

  • 1 on 1 appointment: A meeting with one client
  • Group event: An event with multiple attendees

You will be prompted to fill in some basic information such as the service name, location and duration.

Adding categories

Categories are containers that you can use to group and organize your services. When you have a variety of services, and different service types - like workshops or private sessions - adding categories can help with better organization and display of services to your clients during online scheduling. See how the different categories in the example below make shopping for services easy and fun for your clients:

To create an additional category, click Add Category, type a name for the new category and click Save.

Organizing your Services menu

You can easily drag-and-drop your services to reorder them. Reordering can be helpful when you have a long list of services and want to display certain services first for online scheduling purposes.

Hover over a service and click the handle icon on the left to drag the service into the appropriate place.

Note: If you need to move a service into a different category, edit the service and change the service category from the dropdown. You will then be able to drag and drop the service within the category.

Set a Service Fee

To set a service fee:

  1. Open the platform.
  2. Click Settings.
  3. Select My Services.
  4. Next to the service you want to edit, click the edit icon   .
  5. Scroll down to the Price & display at booking section.
  6. Under the Service fee options menu, choose one of the following:
    • Paid - Require to pay at booking: Payment is required upfront to book.
    • Paid - Suggest to pay at booking: Clients can choose to pay upfront but can book even if they don’t pay.
    • Paid - No online payment at booking: Fee is shown but payment is due later through the client portal.
    • Price varies - Display as "For a fee": "For a fee" is shown and the final price is set after scheduling.
    • Free - Display as "Free": The service shows as "Free" with no charge.
    • Free - Don't display a fee: No fee is shown and the service is free.
  7. Click Save.
Note: If a service is set to one of the "Paid" options, you can enter a price and choose the currency. You won't be able to change the currency for this service later. If you need a different currency, you'll need to create a new service.

Sharing your Services menu

If you would like to preview your Services menu before sharing it, click Preview as a client. The link to share your Services menu will be located in the address bar of the webpage that opens.

Note: You can also generate a link to schedule by navigating to Online Presence > Client Portal > Create Direct Links.

To grab a link for a specific service, click the three-dot icon next to the service and click Grab Link.

Time-Slot Intervals

Time-slot intervals determine how often clients can book appointments. For example, if you set an interval of 30 minutes, your online calendar will show available slots starting at each half-hour throughout the day. The appointment duration can be shorter or longer than the selected time-slot interval. By default, the interval matches the service duration to help maximize efficiency and reduce any unused time in your schedule.

Set Time-Slot Intervals

To set a time-slot interval:

  1. Open the platform
  2. Click Settings and select My Services.
  3. Select the service you want to edit and click the edit icon   next to it.
  4. Scroll down to the Duration & Availability section.
  5. Click the drop-down menu under Time-slot Intervals and select an interval length.
  6. Click Save when finished.

Understanding Multi-service

In the client portal, clients can pick up to five services in one visit. This lets them book everything at once and each service will automatically show up as its own appointment on your schedule. Once they pick your services, they’ll show up on your calendar just like individual appointments.

Here’s how it works:

  1. Choose the services you’d like to book.
  2. Select your preferred staff member.
  3. Pick a date and time that works best for you.
  4. Double-check your booking details to make sure everything looks good.
  5. Optional: Add any special notes or requests for the business.
  6. Click Confirm Booking to finalize your reservation.

FAQ

Why aren't my services available at expected times?

If your services aren’t showing up at the right times, here’s a quick checklist to help:

  1. Availability: Double-check that you or your staff are set to be available when needed. You can update this in Settings > Availability.
  2. Service Hours: Make sure each service has the right availability set to match your schedule in Settings > My Services.
  3. Calendar Conflicts: Sometimes, events synced with Google or Outlook can block availability. Take a look at your calendar to make sure everything is in sync.
  4. Booking Limits: If you have advanced notice or booking limits set, they might be restricting when clients can book. Check these under Settings > Booking Options.
  5. Prep Time & Intervals: If you've set prep time or specific booking intervals, they could be affecting when your services show up. Review these settings for each service.

How many services can I book for a single visit?

You can only choose up to five services for a single visit. 

Can I book multiple services at once with different staff members?

All the services must be performed by the same staff member. For example, if a client books a blowout and a scalp treatment, both services will need to be done by the same person. If a staff specializes in different services, like one person doing blowouts and another doing scalp treatments, they won’t be able to book both services together.

Can I book an event and a service together?

Events cannot be booked together with services. If an event is selected for a visit, it will automatically be disabled if you try to add a service and vice versa. This is because events are one-time experiences and don’t work with regular service bookings. We recommend adding a note or an asterisk to explain that events must be booked separately from services.

Can I book services from different locations in one appointment?

If services are offered at multiple locations, the system will only allow bookings for services available at the same location. If clients attempt to select services from different locations, those services will be automatically disabled.

Will I receive a notification for each service when I book multiple services?

When booking multiple services, clients will receive one consolidated notification. However, as a business owner, the notifications for each individual service are not yet consolidated on the staff side, so each service will appear separately in the staff’s calendar.
