Take control of your schedule and discover how automatic messaging can streamline your appointments and ensure timely payments.
There are four types of automatic client messages:
- Booking confirmations & reminders
- Payment reminders
- Auto-reply for messages and documents
- Auto-reply for SMS
Clients automatically receive confirmation emails, and you can adjust the settings below so they also receive SMS.
To access settings for Auto Client Messages:
- Open the platform.
- Click Settings.
- Click Auto Client Messages & SMS.
Booking Messages & Reminders
Under the "Booking" tab, you can send the following:
- Booking request auto-reply: Personalize the auto-reply email when clients make a booking with a custom message, then at the top of the page click Save.
- Booking confirmation SMS: Check to also send a booking confirmation SMS to clients. A text box will appear. Approve the default text or enter a customized message. At the top of the page, click Save.
- Booking reminders: Check to send up to two reminders per appointment, choose when they will be sent, and choose to send an SMS confirmation.
- Post-appointment follow-up:
- Automated follow-up: Will be sent to the client after an appointment at a selected time.
- Manual follow-up: A follow-up reminder will be sent to you after the appointment.
- No follow-up: Disable follow-up messages.
You can also enter a personal message in the text box, thanking your client or inviting them to schedule a follow-up.
After adjusting your settings, at the top of the page click Save.
Under "Advanced Email Templates Editing", click email template editing section to further customize emails.
Payment Messages & Reminders
Under the "Payments" tab, you can do the following:
Invoices
- New Invoice SMS Notification: Check so the client receives an SMS when a new invoice is issued.
- Reminders for Overdue Invoices:
- Automatically remind me: Receive a reminder when an invoice is overdue.
- Automatically remind client: A follow-up reminder will be sent to the client when an invoice is overdue.
- No reminder: Disable reminders.
You can also choose when the reminders will be sent from the dropdown lists.
After adjusting your settings, at the top of the page click Save.
Estimates
- New estimate SMS notification: Check to send an SMS notification when an estimate is sent.
- Reminder before estimate expires:
- Automatically remind client: Send an automatic reminder to the client before the estimate expires.
- Automatically remind me: A reminder will be sent to you to follow-up with your client before the estimate expires.
- No reminder
You can also choose when the reminders will be sent from the dropdown lists.
After adjusting your settings, at the top of the page click Save.
Messages & Documents
Under the "Messages & Documents" tab, customize an auto-reply for when a client sends you a message, uploads a document, or fills out a contact form.
Enter your customized message, then click Save.
SMS Settings
Under the "SMS Settings" tab, check "SMS Sender Name" to display a custom sender name to your SMS (English characters only).
Service-Specific Settings
The settings mentioned above apply to automatic client messages for every service.
To adjust settings for a specific service:
- Open the platform.
- Click Settings.
- Click My Services.
- Next to the relevant service, click the edit icon
.
- Under "Quick Navigation", click Client Notifications.
- Under the relevant setting, click Customize.
- Set your customization.
- At the top of the page, click Save.
