Setting Up Online Booking
Clients can schedule directly from your website, your client portal, email, or your social media pages.
To enable online booking:
- Open the platform.
- Click Settings.
- Click Booking Options.
- Check "I offer online scheduling through my client portal".
Tip: You can enable online booking and handle the customizations later. The default settings will be enabled until changed.
Customizing Online Bookings
Customize your scheduling options, booking policies, booking page text, and more for all services.
To access online booking options:
- Open the platform.
- Click Settings.
- Click Booking Options.
Display Options
Customize how your service menu is displayed to clients.
- Display of Service Categories: Choose if services are displayed by default, or if services are displayed only when a category is selected
- Display or promote packages: Hide packages, or use a link or banner to promote them
- Scheduling order: Choose whether clients first select a service and then the preferred staff member, or vice versa. This option is not applicable if you are the only staff member providing the service.
- Display time slots: Choose whether time slots are spilt into sections for morning, afternoon and evening, or are displayed together at once
- Group Events Display: Choose whether upcoming events are displayed in calendar or list view
- Service Menu Title: Enter a line of text to be displayed above your services menu
Setting Booking Options
These settings give you control over how you accept appointments.
Accepting Appointments
- Manually: You must confirm the client's request
- Automatically: Appointments are automatically approved when the client books
- Combined: You must confirm appointments for new clients. Existing client appointments are automatically approved.
Once confirmed, the appointment is added to your calendar and a confirmation email is sent to the client.
Appointment Scheduling Restrictions
- Advance notification: Set how far in advance a client needs to book, from 15 minutes to 6 weeks
- Limit future bookings: Control how far ahead a client can book, from 1 day in advance to 1 year
Setting Booking Policies
Your Online Booking Policy sets how far in advance clients can cancel or reschedule. It appears before they confirm their booking, outlining expectations for cancellations, rescheduling, and late arrivals.
To access booking policies:
- Open the platform.
- Go to Settings.
- Click Booking Options.
- Click the Booking policies tab.
- Create a waitlist for fully booked events: Check to create a waitlist for fully booked group events
- Arrival window: Let your clients know you'll be arriving during a window of time instead of an exact time, from 15 minutes to 4 hours. You can also set a custom arrival window
Cancellations and Rescheduling
- Allow clients to reschedule appointments: Check to set how long a client has to wait to rebook after a cancellation, from always (no restriction) up to 4 weeks
- Allow clients to cancel appointments or registration to events: Check to set a time up to when appointments and event registrations can be cancelled, from always (any time) to 4 weeks notice
- Booking Policy Text: Describe your policy for cancellations, rescheduling, or late arrivals. The text entered will be displayed right before clients submit a appointment request, and on the "Appointment" client portal screen.
- Terms of service: Check if you require clients to accept your terms of service before booking. You'll need to enter your Terms of Service URL for clients to review
Service-Specific Settings
To adjust settings for a specific service:
- Open the platform.
- Click Settings.
- Click My Services.
- Next to the relevant service, click the edit icon

- Under "Quick Navigation", click Client Notifications.
- Under the relevant setting, click Customize.
- Select your customization.
- At the top of the page, click Save.
FAQ
How do I export my booking data?
You can export all your appointment data or choose a specific date range to suit your needs.
To export your booking data:
- Open the platform.
- Click Calendar.
- Click More Actions at the top.
- Select Export Booking Data.
- Choose the Date Range you want to export.
- Under Columns, select All or Custom to apply filters.
- Under Rows, select All or Filtered.
- Choose your file format: CSV or Excel.
- Click Download.
Note: The export does not include expired or canceled appointments or events.
