Getting Started with Zapier
To purchase Zapier:
- Open the platform.
- Click App Market.
- Click Zapier.
- Click Install App.
- Sign up with Google or another email address.
- Log in to your email account.
- Follow the prompts.
Creating Zaps
A "Zap" is a workflow that automates tasks. It consists of a trigger step, 1 (or more) action steps, and an event.
- Trigger: What starts the Zap or where the Zap begins
- Action: What your automation does when it's triggered.
- Event: What is performed when the Zap runs
Example: When a New Client (Trigger)is added to the platform (Action), a new subscriber should be added (Event)in Mailchimp.
Available Platform Triggers
Whenever any of these triggers are activated within your account, the platform will report data to the third-party application that you have connected via Zapier, and the action your set up will be carried out.
- New Appointment: This trigger is activated when a new appointment is scheduled. You can use this trigger to initiate actions in other apps based on new appointment bookings
- New Client: With this trigger, you can automate actions whenever a new client is added to your client list. It enables you to maintain a synchronized client database across multiple apps
- New Invoice: This trigger is activated when a new invoice is created in the platform. You can use this trigger to automate invoicing and financial management actions
- New Payment: This trigger is activated when a payment status changes to Paid
Platform Actions
The platform supports the following actions:
- Create Client
- Update Client
- Find Client
- New Message
- Create Payment
- Create Invoice
When the platform receives data from the third-party application based on the trigger you set in the Zap, the selected action is carried out in your account.
Note: The "Create Client" action is based on the client's email. If the email address received from the trigger app matches an email already in your client list, a new client will not be created.
To create a Zap, you can use:
- An AI-powered Zap builder (Beta)
- Zap Templates
- Blank Zaps
To create a Zap from scratch:
- Open the platform.
- Click App Market.
- Click Zapier.
- Click Open App.
- At the top of the screen, click Create.
- Select Zap.
- Click Trigger.
- Select the relevant trigger.
- Click Action.
- Select the relevant action.
- In the side menu, click the caret icon
, then select an event.
- Click Create Action to create a zap using AI.
- Click Continue.
- Click Sign In to log in to the relevant account. (Google calendar, Gmail etc.)
- Follow the prompts.
- Click Continue.
- Enter and select the relevant details.
- To test your zap, click Test Trigger.
- If the test was successful, click Publish.
- Click Transfer Existing Data or Go to My Zaps.
If a field does not match up exactly as planned, you can edit your client card settings in the platform to create fields that better align with your Zaps.

Managing Zaps
Once you have created a Zap, you can monitor it in the Zapier dashboard.
To access the dashboard:
- Open the platform.
- Click App Market.
- Click Zapier.
- Click Dashboard.
- Under "Recent Zaps", next to the relevant Zap, click the more options icon
.
From here you can select View, Get details, and History.
You can also:
- Enable/Disable Zaps
- Edit triggers, actions, or settings
- View the activity log to track each Zap
- Create multiple Zaps to automate different tasks and workflows
