How to Save and Manage Cards

Clients can securely store their card details for quicker processing of both one-time and recurring transactions. This smooth experience boosts client satisfaction and helps increase conversion rates for your business.

Our payment services include facilitation, authentication, and other financial services, managed by trusted processors and banks. Rest assured, they are PCI DSS-compliant with encrypted card data securely stored on protected servers to ensure your customers' information is safe.

Important: If you face payment issues, avoid disconnecting your processor, as it will delete saved card data and cause mismatches. Contact support for any changes.

Save a Card on File

Clients can save a card on file for future use, making checkout faster and more convenient. As a business owner, you can save a client’s card on your end too. Just be sure to get their consent before doing so.

Save a card on file as a Client

To save card on file as a client:

  1. Go to the Client Portal.
  2. Click Make a Payment.
  3. Enter what you're paying for, the amount, and payment details.
  4. Click Checkout.
  5. Select Add Card.
  6. Enter your credit card information.
  7. Check the Save card for future payments.
  8. Click Pay.

Save a card on file as a Business Owner

To save a client’s card as a business owner:

  1. Open the platform.
  2. Click Sales.
  3. Click Checkout.
  4. Select a client.
  5. Add a service or product.
  6. Click the Checkout button.
  7. Select Charge card.
  8. Enter the payment details.
  9. Required: Once you have the client’s consent, check the Client has consented to save this card on file box.
  10. Click Charge.

Manage Saved Cards

Manage saved cards in the Client Portal

Clients can view, add, or update their saved cards anytime through the Client Portal.

To manage saved cards in the Client Portal:

  1. Go to the Client Portal.
  2. On the top left of the screen, click the hamburger icon to open the menu.
  3. Click the hyperlink that says My Account.
  4. Click the more options icon next to the saved card.

Add a client’s card through the platform

To add a client's card through the platform:

  1. Open the platform.
  2. Click Clients.
  3. Choose a client.
  4. Under “Payment Method,” click + Add new.
  5. Enter the credit card details or request card information.
  6. Click Add card or Send request.

Payment Failures

Sometimes, payments fail if the card on file is outdated.

To resolve this:

  • Ask the customer to verify their card is up-to-date.
  • Make sure that the name on the card matches exactly.
  • Make sure the saved security code (CVV2), zip code, and address information is still accurate.
  • Log in to your Stripe account to check for any failed transactions and see what caused them. For payments by vcita, check the “Transactions & Payout” section under Sales.

Add a Card During Checkout

Clients can save their card for future use during checkout.

To add a new card during checkout: 

  1. Go to the Client Portal.
  2. Click Make a Payment.
  3. Enter the payment details.
  4. Click Checkout.
  5. Enter the credit card information.
  6. Check Save card for future payments.
  7. Click Pay.

Request Card Information

You can request a client’s card details through SMS or email.

To request card information:

  1. Open the platform.
  2. Click Clients.
  3. Select the client you want to request card information from.
  4. On the Client Card page, go to the Payment Method section.
  5. Click Add New.
  6. Click the Request Card tab.
  7. Enter the client’s phone number or email address.
  8. Click Send Request.
Note: There’s SMS charges for sending a request through SMS.

Add Client's Payment Method

You can also add a client’s card on their behalf. Just remember, clients must consent to storing their card details.

To add a client’s payment method:

  1. Open the platform.
  2. Click Clients.
  3. Select the client you want to request card information from.
  4. On the Client Card page, go to the Payment Method section.
  5. Click Add New
  6. Enter the credit card information.
  7. Check the Client has consented to save this card on file for future payments.
  8. Click Add Card.
Tip: If you're using Stripe, clients can use Link by Stripe to autofill their saved details for a faster checkout
