Your Calendar: Scheduling 1-on-1 Appointments, Group Events, & Booking Off Time
Save hours of planning, impress clients with seamless scheduling, and watch your business thrive - it's all possible with your calendar.
There are 3 calendar formats:
- Calendar View
- Appointment List
- (Group) Event List
1-on-1 Appointments & Group Events
- 1-on-1 Appointments: Meetings between you and a client
- Group Events: Events led by your business with multiple clients, such as a class, a workshop, or a webinar

Single and Multi-Staff Accounts
Single-staff accounts: Colors represent the service type (Introductory phone call, meeting etc...)
Multi-staff accounts: Colors represent different staff members
To change pre-defined colours for services and staff:
- Open the platform.
- Click Calendar.
- Click the menu icon

- Next to the relevant staff member of service, click the more options icon

- Click Set Color.
- Select the color.

Blocking Off Time
You can block time off for personal events, staff meetings, holidays, and vacations.
To block off time:
- Open the platform.
- Click Calendar.
- In the top corner, click New.
- Select Block Off Time.
- Enter the details.
- Click Done.
If you have multiple staff members, be sure to select the correct one.
To repeat blocked off time:
- Open the platform.
- Click Calendar.
- Click an available time slot.
- Select Blocked Off Time.
- Next to "Details", click Does Not Repeat.
- Turn on "Repeat".
- Enter the details.
- Click Done.
- Click Save.
You and relevant staff members will receive an email confirmation and the blocked off time will be added to your calendars.
Service Details & Notification Settings
To change service details or notification settings for a series of appointments or group events, click Settings > My Services.
Scheduling an Appointment
To schedule a 1-on-1 appointment:
- Open the platform.
- Click Calendar.
- Click an available time slot.
- Select Appointment.
- Select the relevant client.
- Enter the details.
- Click Schedule Appointment.
The appointment will be saved to your calendar, and you and your client(s) will receive a booking confirmation with the details.
You can also schedule appointments by clicking New at the top of the screen and following the prompts.
To repeat appointments:
- Open the platform.
- Click Calendar.
- Click an available time slot.
- Select Appointment.
- Next to "Appointment Details", click Does Not Repeat.
- Turn on "Repeat".
- Enter the details.
- Click Done.
- Click Schedule Appointment.
The appointment will be saved to your calendar and an email notification will be sent to you and your client.
Tip: Click an appointment on your calendar to open it. You can reschedule or cancel, create an invoice, charge a payment, and more.
Scheduling a Group Event
To schedule a group event, you must first define it on your service settings page. Hidden events will not show on your online scheduler.
To schedule a group event:
- Open the platform.
- Click Calendar.
- Click an available time slot.
- Select Group Event.
- Enter the details.
- Click Create Event.
The group event will be saved to your calendar, and you and your clients will receive a booking confirmation with the details.
Click a group event on your calendar to reschedule, cancel, create an invoice, charge a payment, and more.
To repeat group events:
- Open the platform.
- Click Calendar.
- Click an available time slot.
- Select Group Event.
- Next to "Event Details", click Does Not Repeat.
- Turn on "Repeat".
- Enter the details.
- Click Done.
- Click Create Event.
You'll receive an email confirmation for the event and if online booking is enabled, your clients can now sign up online. You can also register clients for the event yourself, or send clients a direct registration link.
Note: When you invite clients to a repeating event, they are automatically enrolled in each event session. However, when clients register themselves they must sign up for each event session individually.
Event Waitlist
The Event Waitlist is a helpful feature for managing cancellations or attendance limits. You can choose to handle it manually or let the system automatically manage it for you, giving you the flexibility to control the event your way or let things run smoothly on their own.
Automatically Fill Available Spots
When this option is turned on, available spots will be filled automatically and waitlisted clients will receive a text with a link to claim their spot as soon as one opens up due to a cancellation. If no payment is required, they’ll be registered right away. For events that require payment upfront, they’ll have the option to pay before registering. Keep in mind, event registration is first-come, first-served.
To turn on the automatic option:
- Open the platform.
- Go to Settings.
- Select Booking Options.
- Click the Booking policies tab.
- Under the “Waitlist” section, check the box to Create waitlist for fully booked events.
- Choose Automatically fill available spots.
Manually Fill Available Spots
If you prefer to have control over the attendance, you can manually fill the available slots yourself.
To turn on the manual option:
- Open the platform.
- Go to Settings.
- Select Booking Options.
- Click the Booking policies tab.
- Under the “Waitlist” section, check the box to Create waitlist for fully booked events.
- Choose Manually fill available spots.
To manually add a client to the waitlist:
- Open the platform.
- Under Calendar, select Event List from the drop-down.
- On the side of the page, click the Waitlisted tab.
- Click the Add to Waitlist button.
- Select the clients you want to add then click Continue when you’re done.
- Optional: Add a note to the waitlist confirmation email.
- Click Add to Waitlist to complete the process.
To add a client from the waitlist:
- Open the platform.
- Under Calendar, select Event List from the drop-down.
- On the side of the page, click the Waitlisted tab.
- Next to the client you want to register, click the more options icon.
- Select Switch to Registered.
- Optional: Add a note to the waitlist confirmation email.
- Click Register to complete the process.
To find events with available spots:
- Open the platform.
- Under Calendar, select Event List from the drop-down.
- Under “All Filters”, check the box for Events with bookable spots.
