Create and Manage Views
Customize your Clients with Views that support every step of your business process. Keep your team in sync, move clients and projects through their lifecycle efficiently and save time with bulk actions.
What Are Views?
A view is a custom client list, organized by criteria like status, tags, and pipeline stages. There are two types of views:
- Preset views are default views in your CRM, designed to fit typical business needs. They can't be customized, edited, or deleted, but can serve as a starting point.
- Custom views are created by the business using existing or custom information to meet specific needs, like a sales pipeline or project stages.
Use Cases for Views
- Sales pipeline: Build views to track leads in the sales funnel and ensure timely follow-ups.
- Service life cycle: Create views to manage clients at each service stage.
- Client buckets: Organize clients with similar needs to streamline communication and improve service.
- Tag-based views: Tag clients to simplify management and prioritization.
Create a New View
To create a new view:
- Open the platform.
- Click Clients.
- Click New and select View.
- Enter a name and description for your view in the 'New View' window.
- Choose Only me or All Staff to set the view's visibility.
- Click Save to create a new view.
Save a View as New
- Open the platform.
- Click Clients.
- Select the view you want to change or duplicate.
- Add or remove filters as needed.
- Click Save to update the current view or use the drop-down arrow to Save as new to create a new view with the changes.
Filter Views
- Open the platform.
- Click Clients.
- Select the view you want to add or edit filters for.
- Click on Filters.
- Select the filters to display in your view.
- Click Save or Save as new to apply the filter changes.
Adjust Columns
To choose which columns appear in your views:
- Open the platform.
- Click Clients.
- Select the relevant view.
- Click Columns.
- In the window, add or remove columns by checking or unchecking the boxes.
- Hover over the left side of the columns and use the drag icon
to reorder them.
- Click Done to save your changes.
Manage Views
Customize your workspace by creating, saving, reordering, closing, and deleting views. You can save as many views as you want but only seven can be shown at once.
- Manage view options: Click the more options icon
on a view to see its details, edit, or delete it.
- Closing a view: Click the X next to the view to close it.
- Access additional views: Click +views arrow next to your views.
Sort Views
Sort views in ascending or descending order by clicking the sort icon next to the column.
Perform Bulk Actions
Use your views to perform bulk actions on multiple clients.
- Check the box in the corner of the client's table list to select all clients in the view.
- Use the arrow beside the box to select clients in All pages or Current page or check the boxes to select clients manually.
- After selecting your clients, a bulk action menu will appear above the table with options like Invite via Email, Add tags, Change status, and More.
