Can I request more information from clients that are scheduling an appointment?

You can certainly request additional information from your customers during the scheduling process with vCita.

By creating questionnaire to gather as much information as needed prior to the appointment about your client, you can always provide the best service possible.

You currently have two options to do this: Client Card Fields, or a Service Form

Client Card Fields:

  • These fields can be created under Settings > Client Card.
  • This data will be saved with the client's information, which can be viewed under Clients.
  • Data requested here will only be asked the first time the customer contacts/schedules with you. For this reason, it is best to use these fields for information that will typically not need to be updated (such as Name, Email Address, etc).

Per-Service Form:

  • These fields can be created under Settings > Services > Edit on a per-service basis (each service can have different associated questions).
  • This data will not be stored as a part of the client's information, as the data is considered to be a part of that specific correspondence. You can always go back to that correspondence to review it, or copy/paste it into the Private Notes section of the client entry.
  • Questions created here will be asked every time a customer schedules that particular service. This option is great for information you will need before each and every appointment.
