How to Issue Refunds
- If the payment method is Paid (Online) like the example below, it was processed through your payment gateway connected to the platform.
- If not, then it was recorded manually
Stripe
If your payment gateway is configured to use Stripe, refunds that are completed from within the platform will record the refund in the platform and Stripe will automatically refund the funds to the client.
Square
If your payment gateway is configured to use Square, refunds that are completed from within the platform will record the refund in the platform and Square will automatically refund the funds to the client.
PayPal
If your payment gateway is configured to use PayPal, refunds that are completed from within the platform will only record the refund in the platform, but this will not trigger PayPal to issue a refund and no currency will be exchanged. To return the actual funds to the client, you will need to issue the refund from your PayPal account. Click here to learn more about issuing refunds from your PayPal account.
Payments by inTandem
If your payment gateway is configured to use inTandem, refunds that are completed from within the platform will record the refund in the platform and your client will automatically be refunded through inTandem.

If issuing a refund via Paypal, how do I record the refund in Vcita?
Hi Kilah! Simply navigate to the payment in your vcita account and hit 'Refund'. This will mark the payment refunded without triggering an actual refund if the amount was paid via PayPal.
How do you complete a part refund?
Hi Sam! At this time, partial refunds are not possible through vcita. You can log into your connected payment gateway (Stripe, Square or PayPal) and issue a partial refund from there.
