xpert billing: How to purchase or pay for client account subscriptions
With the xperts program, you have two billing options for your client accounts' subscriptions:
- Hands-off: Let your clients purchase and pay for their own subscription with the client can pay billing option.
- Manage subscriptions: Pay for your client's subscription on their behalf using the paid by xpert billing option.
You can also toggle the billing option per account if you want to pay for some but not all.
Set the Default Billing Option
By default, accounts added to your directory are set to paid by client. You can toggle this setting on a per-account basis on the Subscription tab of any account (admins only).
If you want to change the default to paid by xpert, enable the following setting:
- Click your email in the top right-hand corner and select Account Settings from the dropdown.
- Enable the checkbox:
- All new accounts you add to your directory will now be set to paid by xpert by default. They will not be able to buy their own subscription. Re-enable the checkbox at any time to change the default back to client can pay.
Toggle Account Billing Option per Account
You can toggle the Account payment option on an individual basis from the account Subscription tab.
- Start in your xpert operator dashboard.
- Select the account from your accounts list and switch to the Subscriptions tab.
- Switch on the account payment toggle to pay for the client or turn it off to let the client pay for themselves.
Pay for your clients' subscriptions
By paying for your clients' subscriptions, you can sell vcita at your own margin. This is especially helpful if you are offering vcita as part of a bundle of services
Managing Client Subscriptions
To manage any client's subscription:
- Start in your xpert operator dashboard. Any account that you are currently paying for will have the following indicator next to it:
- Select the account from your accounts list and switch to the Subscriptions tab.
Select/Change/Cancel a Subscription
To purchase a new subscription for your client or change their existing one:
- Click on Purchase or Change Subscription to pick a new subscription or change the existing subscription for your client. You will see your options and rev-share percentage in the popup. Use the checkboxes to choose whether you want to be billed on a monthly or annual basis. You will pay the indicated discount price for the subscription.
- Remember to apply the coupon on the checkout page just below your credit card information to get your discounted partner rate. Just click the arrow next to the coupon code.
- Return to the Subscription tab when you are done and refresh the page to see your changes.
To cancel your client's subscription:
- Click the three-dot icon next to a client's subscription to cancel subscription. Refresh the page to see your changes.
- The account will be locked and your client will not be able to log in. You can unlock the account under the Account tab (This is helpful in order to allow your client to export data). The subscription will remain active until the end of the current billing cycle.
Billing information and subscription invoices
All subscription payments will be charged to your card on file based on the billing cycle and billing frequency you selected when purchasing the subscription.
Just under the subscription, you will see more information about when the account's subscription will renew and the amount paid on the last invoice.
To view the last invoice issued for any client account:
- Access the account's Subscription tab.
- Click on the 3-dot icon next to the change subscription button and select the option to see the most recent invoice.
To see all your account transactions across all the accounts, including client accounts you are paying for:
- Click your email in the top right-hand corner and select Account Settings from the dropdown.
- Switch to the Subscription and Billing tab.
- Click on View transactions.
Client-side View
Clients can view information about their own subscription under Settings > My Account.
If you are paying for their subscription, they will not see the option to change plan or view invoices. They should contact you to make changes.
Clients pay for subscriptions
Under the Client can pay billing option, your clients can:
- Purchase a subscription
- Change their subscription
- Cancel their subscription
- View their past invoices
Simply navigate to Settings > My account to make changes.
In your operator account, you will be able to see when the subscription was created and the billing cycle.
